Topic: Comment fields turned to (MEMO) on export to Excel

One of our staff has just reported that after exporting the output of an xml report to Excel, every item in the Taxon_Occurrence.Comment field has been changed to (MEMO) - or oddly in some cases (memo).

This appears to be new behavior since the upgrade to 6.22.

I am aware that the Comment field is Text data type (i.e. effectively unlimited size) and that Excel can only take 254 characters, so I assume that this is as a result of a change to the Excel export process somehow.

I have fixed the problem by using CONVERT(Varchar(254),TOCC.COMMENT) in my xml report. However I now have to go through all my other reports making the same change. Not looking forward to that task.

The annoying thing is that exporting to excel  is not the only thing we do with data, but all outputs from that report will now possibly lose data. That means I will need a second version of each affected report for export to Access (which copes perfectly well with Text data). Or modify every xml report to give the user the option to truncate or not.

Didn't notice this change in the release notes, was it there?

The more I think about it, the more counterproductive this change looks.

In the previous setup, if a comment was more than 254 character long, there would be truncation, but the first 254 characters would still be there (and that is often where the good stuff is), if the end-user notices the truncation, they can always come to us for additional information.

In the new version we get (MEMO) for every record, regardless of whether there was anything in the Comment field.

I think I would regard this as a bug now, maybe I posted in the wrong place.

Yes, this happens for me as well. Ran the upgrade to 6.22 and dictionary 23.

Taxon Occurrence Comment and Sample Location Description fields now export to Excel as (MEMO) if there is anything in the field and (Memo) if it is blank.

Thanks Gordon, for the clarification about (MEMO) & (Memo). At least we can be reassured that the data loss is not quite 100%, we still know if the might have been something interesting there.

Incidentally my colleague has checked and the same behavior happens with export to Word and  Text files also, but not to Access.

Should have mentioned that this happened running a saved report from right click on a location. Results appear normal in the Filter Result screen, but contain (MEMO) on opening the .xlsx file. Copy all and paste directly into XL doesn't do this.

We haven't applied the upgrade yet, and as we use the comments fields a lot we won't now until this is resolved. Does it affect the output from the report wizard as well?

Yes it does and it applies to any field which is of Text data type, so pretty much all Comment & Description fields anywhere in the database.

This needs an urgent fix. I really don't want to have to rollback the upgrade.

Please do Mike. I have staff on hold waiting to import data. Would you recommend that we go ahead on the assumption that we can cope with defective outputs manually until a fix is supplied? Or should I rollback the upgrade now & await re-issue?

I don't suppose you can answer that, but I'm asking anyway.

Could it be something caused by the NBN export addin? I seem to remember hearing about problems with comment field truncation there.

This turns out to be the side effect of a change made for Germany, which should not have affected us. It was tested and closed by them, but  it is probable that if we had done the testing we would not have noticed this problem.

If you have already installed 6.22 then you can wait for version 6.22.274 to be made available on the web site or download  the new application files from www.lfield.co.uk/download/recorder274.zip  and replace the existing files in the Recorder 6 folder with these.

If you haven't download yet please wait for the  upgrade to version 274 to be available.

Sorry Mike, that made it worse.

I replaced the three files you supplied, then re-edited one of the items I had already changed as a short term fix (this being the Obs Comment output from the report wizard, to which I had added CONVERT(VARCHAR(254),...))

Thanks. I don't get that, or I wouldn't have made it available.  Is it the report that is crashing or the export to Excel ? Also is it an XML report or the report wizard ?

It was the report wizard and it crashed while producing the report, not while exporting.

I have just got back from lunch and from memory I think I tested the exact same report wizard settings after I had undone the latest change to make sure it didn't crash anyway. I will do a bit more testing just to make sure.

My apologies Mike, the crash was my fault. I had edited the REPORT_ATTRIBUTE.ATTRIBUTE_SQL field to remove the CONVERT, but had failed to set REPORT_FIELD.FIELD_TYPE back to Text.

I can now confirm that the 274 version works correctly, thanks very much.

Now to undo all the various fixes...

I did notice another thing, during the testing however. When exporting to excel, the file created overwrites an existing file of the same name without question. Is that normal?

Fair enough. That would bug the hell out of me if it was something I ever had to deal with on a regular basis. Fortunately I rarely export anything to excel myself.
