I am running a report on all species in a city-sized (Newcastle) polygon and am receiving the following message in the Report Wizard:

"The size of the query used to generate your report is exceeding the maximum limit set by Access and as such can not be executed.
Please go back to the Places Selection page and amend your selection."

The number of records in the polygon could potentially be over 100,000.  I assume this is why I am receiving this message; is there a limit as to how many records can be generated in a single report?

Yes, I think in Recorder 2002 the limit is about 30,000 records (if I remember correctly). If you want to get around this limitation, you'll need to upgrade to Recorder 6 I'm afraid.

Thank you.  I suspected that might have been the case. 

Just out of interest, do you know how many records Recorder 6 can generate in a single report?

Theoretically it's unlimited, but as with all things there must be some sort of practical limit. All I can offer is that we have about 1.6 millions records and have yet to have any problems whatsoever in relation to report size.

The limit you observed in Access is more likely to be a limit on the number of locations found within the polygon rather than the number of actual records returned. I think the limit is in the order of a few thousand locations.

Recorder 6 does not have any limits regarding the number of records returned by a report other than the limits inherent in SQL Server which are unlikely to affect any Recorder users!
