Re: Handling grid references in Events

I have found an annoying quirk in Recorder 6 -

Within an Event, if you change the Location attached to the event, then it has a tendency to OVERWRITE the existing grid reference of the Event with the grid reference from the Location Table - this has implications for data integrity, since it can totally change a record without the computer operator noticing the change - this change should only be implemented AFTER asking if the grid ref should be overwritten - I have noticed it doesn't always happen, so I am unsure of the rules used to decide upon this change!

Does this make a huge difference? The grid reference of an Event can be different from that of a Sample, and the Sample Gridref would normally be the one that any reporting is done on.

Re: Handling grid references in Events

The grid ref of the event is changed where the grid ref of the previous location is the same as the grid ref of the event. The assumption being that if the grid ref is the same then the Location and Event are linked so changing the Location should change the Event.  If the Event grid ref is changed  and the result would mean that the samples are  no longer in line with the changed Event  grid ref then you do get then normal warning where you can select the action you wish to take as far as bringing the sample(s) in line with the new grid ref.  This will normally alert you to the fact that a change has taken place.

If you change the Location on  Sample the same logic is applied and the grid ref can  be brought in line with the new location.

Re: Handling grid references in Events

Sorry Mike you've missed the point on my post, so I will use an example:

I have an event with no "Event Location" but a grid reference of SK058339 (with type of "imported")

since I can locate this record I wanted to add an Event Location

on adding "Uttoxeter Rural" to the Event Location, this AUTOMATICALLY changes the grid reference to "SK02" which is the default grid ref for Uttoxeter Rural - if I don't notice this UNWANTED change and I press "Update child sample" on the save then all grid ref information of the original record is lost - this is neither intuitive nor preferred.

This also happens if working on the Sample rather than the Event, equally unwelcome! It even over-writes the grid reference if it is set as "Original Recorder" - this is blatently breaking record integrity!

It also "SOMETIMES" happens when changing an Event or Sample Location name, BUT NOT ALWAYS - not as yet worked out why it sometimes does not change the grid reference

Craig

Thanks Craig, I can see that this is dangerous and will report it..

I havn't yet been able to get changing the Location Name to affect the Grid Ref.  As far as the changing the  Location is concerned, I believe it will only change the Survey Event (or sample) grid ref where the original event  grid ref  is the same as the grid ref of the location you are changing. That is to say that if you have a Location with a grid ref of SK02 and the event grid ref is SK02 and you change the Location to one with a grid ref of SK04 then it will automatically update the event rid ref to SK04, even if the qualifier  is different.   This isn't very good behaviour either.
