Not really sure about this one, but as I understand it there is an item in the Name table that has no associated item in the Individual or Organisation tables. Howerer I shouldn't delete this item from the Name table as this item may have samples, events or determinations associated with it - in fact at least one does, causing Org as Determiner/Recorder errors that I can't get rid of as a result. A way to resolve this might then be to insert items into the Indiv/Org tables to correspond with the Name Key, find the associated records and then correct as appropriate.

Does this sound like a good plan?

You will not be able to delete the entry in the Name table if the key is used elsewhere.

At the moment the only thing you can do is to create a new entry in the appropriate table. Most likely things are missing from the individuals table, but if you are not sure of this open the Name table and check the Organisation field for the key you are trying to correct - true means an organisation. If you can use MSAcess then open the Individual table. Copy one of the lines already there  and paste it in as a new record. Alter the name_key to match the missing key and change the other fields as required. Save and exit (or repeat in you have more than one to do).

Without MSAccess you need an insert query.

If the original record came from another R6 users you will not be able to edit it. 

Sally has done  a Batch Update to assist with fixing the situation where Organsiations have been used as Recorders or Determiners.

I have uploaded SRChangeRecorder.xml, the xml batch update that will correct the problem of organisations used as recorders, to the File Uploads section of the Forum http://forums.nbn.org.uk/uploads.php . When entering data, the recorders must be selected from the list of individuals, entries from the list of organisations cannot be selected, but I think there was a bug in the Recorder 2002 import wizard at one stage that allowed organisations to be selected. When this problem occurs the recorders do not display correctly in the observation hierarchy. A row is listed for the organisation on the survey event but the Name is blank and the Determiner on the taxon determination is blank when it is an organisation. You can’t change them via the front end as you can’t see them to untick them on the Sample and you can’t remove them from the survey event unless they are unticked on the Sample.

To use the batch update you will need to know the key of the organisation, and the key of the individual you want it replaced with in the observation hierarchy. If an appropriate individual doesn’t exist you will need to enter it. Show Metadata will tell you the key (unique record identifier) of an item.

The xml reports by Mike Weideli http://forums.nbn.org.uk/viewtopic.php?pid=7320#p7320 will identify whether this problem (and others) exist in your system. Orgs as Recorder and Orgs as Determiner will be listed by Sy06 - Problems(Summary) if this is a problem in your database but you will need more information than that provided by Sy07 - Problems(Detail) before you can correct them. Thanks Sally, that has worked where the Recorder/Determiner was an Organisation. I have several more 'No indiv or org' errors. I have inserted dummy individuals with the name keys and will check they don't link to any records before deleting.
