We have been entering data into R6 (V6.13.2.176) covering special interest hedgerows & road verges.  We created a location for each verge/hedgerow and have then being entering associated species data via a recording card.  We would expect each new set of records to be created under a new Survey event as each has a different location.

On some occaisions, The new set of records is being placed as a new Sample under an existing Survey Event, with the Sample being linked to the correct Location but the Event having a different Location.

The recording sites are often very close together (centroids of 4+ verges being within 1km of each other) and are also usually recorded on the same date.  I have been told that one of the recent changes to Recorder was to prevent new survey events being created where the date/location/recorder are all the same, but in this case the locations are different.

Has anyone else experienced this or is this a bug in this update to the software?

Hi Mark,

Certainly when importing data via the import wizard the rules on creation of survey events etc are as you say but I have a feeling that the recording cards differ slightly in how they split events and samples. I think you are right that there was a relatively recent change (but before my time) to prevent excessive numbers of events being created  - I'll get back to you as soon as I have the answer.

This is what should happen on pressing save on the recording card in terms on creating new survey events where data differs:

"First, identifies an existing survey event record in the database based on the combination of grid ref, date, recorder(s) and survey. The identified survey event must also match the vague location name or have null in this field. If no matching event is found then a new record is inserted for the selected survey.
Next identifies an existing sample within the event based on the combination of grid ref, date, recorder(s), vague location name and sample type. In no existing sample is identified then one is created and attached to the survey event."

From what you have posted this looks like it might not be behaving quite as expected. If you could email some of the data that you have inputted which has not gone in to the system as expected (and your method) it would be useful for me to get to the bottom of it.

Is this the same problem as previously reported at http://forums.nbn.org.uk/viewtopic.php?id=766 which appears to have been corrected in an update to 6.13.3 (or presumably 6.14) Still had this error ocurring last month here using 6.13.2.176 using a record card with a sample being created under an event at a different location but matching date and recorder, but expecting not to be a problem after the next update.

Hi Mark,

I have entered locations witht he three items of data that you suggested and set the preferred name as the Site Name. Adding species to each of the these locations via a recording card has created separate events as expected. I guess that Gordon is correct and that this is a similar case to the survey swapping issue previously reported. It was fixed in 6.13.3 so if you upgrade to this version (or even better the latest version 6.14.4) you should no longer have this problem.
