On the Individual tab of the Names and Addresses form, how do you enter something in the 'Dept.' field - I just get a drop down with <none> in it - Help has no mention of this field, it isn't even present on the screen captured image - I can see it being useful if I can put anything in it

You can populate this drop down list by adding things under the dept. tab for each organisation.
