Topic: additional 'events' created when importing via excel

Morning,

I am importing records into Recorder using Excel but a problem has just recently started occurring. There are 73 records in my excel spreadsheet, all with the same date and the same grid reference/location. When I import the records into a survey, I'd expect to see that it creates a single 'event' and 'observation', with all the taxon occurrences below. Instead, it has imported each taxon occurrence in a separate 'event'. Can anybody explain how to prevent this happening as it makes reviewing taxon records within surveys much more difficult. I have the following column headings in the spreadsheet; species name, grid reference, date, recorder, comments and abundance. We are currently using Recorder 6 version 6.17.2.251, I wonder if an update would solve this issue as we have been getting 'bug report' alerts.

There is a certain combination of things that causes Recorder to import as separate events when you'd expect it to do it as one - how are you specify the location (if you are)? I notice that location isn't in the column headings. I've never fully investigated it but if you are specify the location as a one-r (i.e. it's not in the spreadsheet but you specify it in the import wizard) this may be the cause.

Hi Charlie, thanks for your reply. Sorry, I do have the location in the spreadsheet that I was importing, which is the same location for each record, as is the grid reference, so it's odd that its creating individual records. In the import wizard it didn't ask me to specify locations.

The problem has been solved! Thank you Mike.

It was as simple as the locations having different endings i.e. the start of a postcode HD4 but it had not been correctly entered into excel, the postcodes were sequentially going up in numbers, hence creating separate events.
