Topic: How do I Bulk update Location Names in Recorder 6

Hi,

I was hoping someone might be able to help.  I have a list of location, which are already in Recorder 6 where I need to append with the same letters. There are over 2000 sites which need updating like this, and currently we have 19,368 locations recorded. Is there a way to do this without going into the backend of the database? Along with the site names I also have some of the Site codes. I don't want to go through and update these individually, so if there is a way to do this in bulk this would be brilliant.

You will need Batch Update. I can do it for you, but need to know exactly what you want to do.

What do you want to append ?
How are the Locations identified ?
What happens if any are already at maximum length ?

Hi Mike,
Would you need a copy of our NBN file from Recorder with our sites names / codes in it? If so we may need to go through a couple of internal hoops before we can do this. If you could give us some details about how you would do the update that would be brilliant, and then we can add this detail if we need to fill out any internal forms. Do you think it is something we could do ourselves?
The sites which need renaming are all tagged within our Welsh Invertebrates Database - therefore we would like them to be appended as (WID). We have a list of these site, and I think we also have their site codes – however there are some new sites which have been added which we only have their site names for. What is the maximum length for a location name? I can have a look at this to see if there are any which will be constrained by this and talk to our specialist to see if we can change the site name slightly.
Is there a way to identify all the sites based on their survey tag?
Will the batch update automatically update all the surveys which are currently in recorder? Or will we have to retag these with the new site names? I am assuming not as we are just renaming sites rather than creating new ones, but just want to make sure.
The reason for the batch update, is because our specialist wants to, when importing data, select his sites relevant to his records already in Recorder 6. By appending them with (WID) allows him to easily see which ones are related to his work. I’m not sure if there might be other options for this instead of batch updating all his sites?

I don't need your database. If the location can be identified by Survey tag the name of the tags is  all I need. I will supply a  batch update to do the job. You will need  to copy this into the Batch Update folder of R6 - normally this doesn't need IT involvement, but if your system it tightly controlled it might.  Maximum length is 100  characters.

I think adding WID to the name may be the best way, but I will just look to see  if there may be a better approach.

You could use the file code if this isn't being used for something else.  The file code  will show in the Location hierarchy if you go to Tools/Options and tick the box in Location Hierarchy options. You can also filter on the file code.

Hi Mike,
I am not sure what you mean by this, what is the file code? They survey tag doesn’t seem to have a code, and when I tick option to show the Location Hierarchy nothing seems to appear. Does this mean the locations don’t have file codes?

It suggests that the location do not have file codes. Try adding one to to a location through the location hierarchy (on the General Tab) .  Then go to Tools/Options. Under the  General tab on the bottom left hand side you will see  an option to 'Include File Code in Location Hierarchy. Make sure this is ticked. The File code will then be included next to the Location name in the Location hierarchy. You can filter to show just location with a particular file coe. If this will do what you  need to identify the Location then this will be better than changing the names. Let me know which method you want to use and I will do the Batch update.
