Topic: Importing bulk records for another recorder name

Hello,

I've been using the csv upload function to bulk import records for someone else - with their name in Recorder Name column, configured to Recorder Name under Sample attributes.  Although the records import against their name OK, they still appear in my 'My records', which obviously makes reporting more tricky.  Am I doing something wrong or is this a glitch?

Thanks in advance,
Tamara

Re: Importing bulk records for another recorder name

Hi Tamara
The logged in user is someone we can be certain relates to a single person. However if you are using the recorder name field to input records for another recorder, this is just a label against the record, as there could be multiple John Smiths etc. So the records remain under your account as you input them (also this makes it possible to relocate them for edit).
I wonder if a useful filter would be to be able to exclude records from your reports where the recorder name is populated with someone else's name?

Re: Importing bulk records for another recorder name

Hi John,

Ah, of course....Would it be possible to upload against the user id number?
This isn't something I'll be letting lose, just offering it as a method for certain people to send me bulk records for upload...so I'll always be able to attribute IDs.
Otherwise, yes, some kind of filter would be handy.

Cheers,
Tamara

Re: Importing bulk records for another recorder name

I know this thread is old but.  As a follow up question, once data has been imported from a CSV file as the 'wrong' user can these data be edited (possibly via SQL) to belong the correct user?

Re: Importing bulk records for another recorder name

Hi Mikee

If you have administrative access to the warehouse storing the records, it is always possible to change entries in the database via SQL. The web service interface might also allow you to update this field. To fix a one-off mistake I would consider the former. For a regular thing I would investigate the latter.

As far as uploading against a chosen user id number is concerned, it looks to me like it is possible. You would need a column in your csv which is the recorder name (not id, actually) and map it on to the attribute "Created By (lookup existing record)". The mapping is saying that it would look up the name to find the id for you.
