Topic: Observation has lost species record.

On a stand alone copy of Recorder, a handful of records have "lost" the species part of the record. Unfortunately there is no backup available for when the records were complete. Is there any way of rebuilding the record or of keying in the species. Recorder doesn't allow access via the "Goto key", you get Error get item:list index out of bounds.

This will require some investigation in the tables. The error you  get on the Goto suggests to me that you may  not have lost the species, just something they need to display.  When you say the Goto key gives an error what table are you searching on ?

Taxon Occurrence. Found the records using the report wizard and exporting the key.

Further info:

Have found the complete record (1 of 60) in an old copy of Recorder. It is Heriades truncorum, which appears 10 times in the Index_Taxon_Name table, all with a preffered key of 'NHMSYS0000872382'. In our Live system and the stand alone system where the problem was first notice, it only appears 9 times. The missing one has a taxon_list_item_key of 'NHMSYS0020437062' which is the one allocated to the record with the missing species.

Hope that makes sense. I don't know if it indicates that we have a problem, but hopefilly it will give you more of a lead.

Thanks for the suggestion, but that was the first thing we tried. No joy.

I've run a query today and we have 67 determinations (out of 3,175,352) where the list_item_key doesn't appear the index_taxon_name table. Confusing.

The Taxon_List_Item keys must be in the Taxon_List_Item table, so can't  think why they are not in Index_Taxon_Name. Can you provide me witha lost of TLI  keys ?   Do any of the missing ones explain your original problem ?

Hi Mike,

I've just checked and as you say, all the TLIK's are in the Taxon_List_Item table. I've attached a spreadsheet of the keys.
We only found the problem by accident when we extracted some records and one had no species. Further investigation showed 67 records.

Hi Mike,

Investigated further looking for common factors. All the problem records were entered using the 'JNCC collation of taxon designations'. That dictionary has been used 126 times for records in our database and 67 of them are missing from the Index_Taxon_Name table.
Don't know if this helps, or just serves to further confuse matters.

Although you can't now use these for input, it shouldn't cause any problem.  I think one of the associated dictionary tables  could be missing data for these taxa. I suspect that it could be Taxon_Common_Name.  If they are missing from there it would stop  them going into Index_Taxon_name. Could you check this out please.

Hi Mike,

The taxon_list_item_key appears in the taxon_common_name table. It doesn't appear in the index_taxon_designation, index_taxon_name or taxon_designation tables.
One of the species is Green Woodpecker, which appears 19 times in the index_taxon_name table with the recommended_taxon_list_item_key of NHMSYS0000529673, but the entry with a taxon_list_item_key of NHMSYS0020439733 is missing.
