Topic: Rejected Items from Spreadsheet Import

Hi

We have just tested an import of about 15000 records into a Survey and had 3 invalid records.  As we did not want this small number to halt the import we imported anyway.  This resulted in 657 Rejected items.  On viewing the data all of the records bar these 3 are there but we are concerned what the other 650 items are!!

On trying to find the importerrors.txt file it looked like it had not been updated (the date of it was still in October form the last time we did an import).  Is there any other way of finding out what these rejected items where?

We are running Recorder 6.18 in a network (server/workstation) configuration.

The import reject file (ImportRejects.txt) should have been populated. It should be located in the \Recorder 6\User Files folder. Is this the file which hasn't changed ?  Have a search for this file name just in case it was written elsewhere. You should expect a higher number for the rejections than the 3, because the number is across all tables, not just the records, but I wouldn't have thought 657 is reasonable.   In version 6.18 you will get rejections at the end of the process where the  dates/grid refs etc are not valid for the Survey chosen.  Perhaps if you look in the spreadsheet for any dates which are outside the Survey date range this may be where the problem  is.

Depending on which operating system you are using you may have be experiencing the effect of a known problem.  When running Recorder 6 with Windows 7, it fails to write the files that should be written by the import wizard, e.g. ImportRejects.txt, because it is trying to write them to a folder which doesn’t exist. It then tries to write them to a default folder in C:\Program Files\Recorder 6\ which cannot be used unless you are running Recorder 6 as administrator. This also affects the facility to save observations for unmatched taxa, a new facility in v6.19 – see CCN379/6 in the v6.19 release notes.  It also affects the facility to save invalid items. To get around this problem create a folder called ‘User Files’ in C:\ProgramData\Recorder 6\.
