Topic: Selecting data not by chosen criterion

Yesterday I encountered a problem I had not expected and think it could be considered to be a 'bug'. It concerns using the Report Wizard and selecting the report restricted to one or more Admin areas.

I have a gazetteer for North-East Wales in which I have named every 1km square (see in the Submit records page of www.cbrg.org.uk). Unfortunately, in Wales there are some names that occur fairly frequently, such as Llanfair, Rhewl, Moelfre, etc. The issue I am reporting is about two squares, both called 'Moelfre, W' but because they are geographically well separated, when I was doing the naming that meant the naming was temporally well separated. One is in UA Powys, VC Denbighshire, the other is in UA Conwy, VC Denbighshire.

I wish to select the records I had in UA Powys that are also in the southern end of VC Denbighshire, so I restricted my selection to the 'Countires and administrative areas as of 2002' and selected Powys. When the records were displayed they included records for SH9474 that is many miles north of Powys. In my Location data for that 1km square there is no mention of Powys. So, it appears that R6 selected data not just by the county, as I had expected, but also by another place name that happened to the same as a place that is in Powys. Surely this should not have happened?

To resolve the issue I changed the name of the northern 'Moelfre, W' to something not repeated elsewhere. However, this example indicates that the search by county is not reliable. If I had been selecting many records I may not have noticed the error.

If selecting by a chosen criterion, should R6 not restrict its search to just the chosen criterion and not 'go off at a tangent'? This issue may not affect many users but it is of concern that a search does not work as would be expected. Can the issue be resolved or fixed?

Thanks for this. It took a while to work out what was happening in this situation. Recorder 6 is returning all the selected locations (by name in your example) AND all the locations which fall within the specified Admin Area. Like you I expected it to return only the locations selected where these were also within the Admin  Area.   We need to consult a bit more over this to decide what is best to do, also to look to see if there are implications in other situations.
