Topic: Export to Levana

How do I export my Lepidoptera records from Recorder 6 to an Excel file, so that it can be imported into Levana which is used by Butterfly Conservation?

The format of the data is the five columns
- grid reference
- site name or location
- date
- species name (vernacular works better)
- number of that species seen

I tried generating a report using Event date, Sample spatial reference, Sample location, Taxon common name. However, to include the number of species seen I had to include Taxon abundance adult/adult male/adult female/copulating pair. However, for the 4 abundance columns contain instead just number, contains e.g. "2 count". I could try and edit this using Excel, but there must be an easier way.

Firstly, your abundace column - if you report on Abundance (none) you should get the output as you say, in one column, a numeral and then the wordd count.  This can easily be edited in Excel by selecting the whole column and then using find-replace (ask it to find all (space)Count and replace with nothing at all (ie leave box empty)).  If you have to have abundance in four separate columns for your output, then you should also use the concatentae function - this will combine the text from the four columns for each row into one field - you can then copy and paste special (paste values only) back into one column, and take out the word count as above - doesn't take too long, even on large datasets.  You set teh concatenate function up on the first row, then just drag down the wholelot and it just happens really quickly.
As far as I know, this is how recorder has done its abundance data where iti s a count of something.

Secondly, as a records centre person who is a county recorder for Butterfly Conservation, I will ask why you feel the need to send records back to Levana?  Levana is poorly-supported on many modern PC operating systems, and quite a lot of county recorders have switched.  Obviously, if you are trying to send data to a county recorder still using levana that is a bit of  a problem, but otherwise, BC nationally allow us as county recorders to use any recording platform and send records to them in excel or some other agreed formats - most county recorders accept records these days in excel or other formats.
