Re: Export records using Filter addin for Recorder 2002

Download: ExportFilter.zip

Recorder has a built in "Export Using Filter" command, but in Recorder 2002, it doesn't behave in the way I (as a recording scheme organiser) want in relation to taxonomic filtering. Note that this has been fixed in Recorder 6 so this addin is not required by those who have upgraded.

The problem:

- Set up a Filter (Tools - Export Management - Manage Export Filters) to export records to the  Hoverfly Recording Scheme. This would have "Syrphidae" in the "Filter on Taxonomic Groups" box   (maybe with a list of Surveys, a bounding box and/or a date range - whatever is appropriate).

- Use the built in "Tools - Export Management - Export Using Filter" command and the SAMPLEs meeting these conditions will be found (i.e. those SAMPLEs that include records of Syrphidae  and meet any other conditions you included in the Filter definition). But ALL records attached  to these SAMPLEs, whatever taxonomic group they belong to, will be exported!

The result is that the recording scheme potentially receives records of a wide range of non-Hoverflies along with the records it is interested in.

This addin performs the same function as the built in command, but only exports records that meet the "Taxonomic Groups" condition of the Filter.

To use this addin to submit records to a recording scheme:

1. Set up a Filter with the appropriate Taxonomic Group defined.

2. Use this addin to export records (in "NBN Access Database (zipped)" format if the recording scheme uses Recorder). And send the resulting file to the scheme organiser (e.g. attached to an email).

3. The first time you do this, select the "all records for this filter" option (or enter the date on which you last did a manual extraction as the "since" date).

4. On subsequent occasions, use the "since" option with the date of the last export (which will be filled in automatically for you) so that you only submit records added or changed since  your previous submission.
