Hi

I have just had one of those moments when I could scream at R6 and do damage to the computer....

I wish to prepare a set of reports to select records of sets of birds species to send to the friends who will be helping me to write our next bird report. I used the wizard to prepare the first and found that right at the end of the process, for the first one, you get the screen to name the report. R6 includes a screen asking if you wish to use the format of an existing report - ideal, I thought, it means I will have exactly the same attributes for each of the reports. However, when you finish the report there is no option to name the new report, it just overwrites the previous one. Aggghhhh!!!!

Is there a way to produce different versions (ie with different taxa) but the same attributes under different names?
Is there  a way of changing the name of an existing report, within R6? (I have just thought, that it may be possible to do that via Windows Explorer - but why should that be necessary?).

Does anyone know how to crack this one?

Hi Ian

If you are referring to a Report (rather than a report template), then for the first report select "New Layout" on the Layout Selection page of the wizard. Now, go through the rest of the wizard, then select File\Save from the menu to save the report. For the rest of the reports, select the other option on the Layout Selection tab and choose your saved report. Now, complete the wizard again. This time, select File\Save As... from the menu and save the report as a different name.

Is this what you mean?

Thanks, that was exactly what I meant. I had been looking for the Save As option within the messages that occur in the Wizard. That is one problem cracked!

Is there a way of editting an existing report that has been created in the wizard. I have tried to select a report and get to the Edit menu, but when selected the report just runs and at the end there is no 'Back' option to change one or more settings. Having established the reports for people I would like to be able to edit the 'Additional filters' to select the year for which the report produces records. Is there a way to do this? Currently, it seems that all the reports have to be produced afresh.

Ian, instead of selecting the report from the Run menu, open the Report Wizard.

At the Layout Selection stage, select "Choose the same attribute [...]" and select your report from the drop down list.

Click Next, then Next again to run the report.

Once the report is produced, you should now be able to click Back to edit the report.

Many thanks for your suggestion, but it is limited in scope. I have tried it three times and when I try to do the 'edit' as you suggest, firstly all previously selected Taxa are deleted and the Additional Filters are lost too. That is not quite what I had thought 'editting' would be. I am surprised that it is not possible to revisit a wizard produced report and change any of the selections at any of the stages. For me, losing the list of Taxa is the worst bit. The additional filter I use - greater than (date) and less than (date2) is easy and quick to retype. Is there any way to keep the existing taxa in the report for which I wish to change the two dates?

To save a list of taxa, use a rucksack. You need to place the taxa you need into one, save it and leave it open, then start the wizard. At the taxa selection stage, you should find the rucksack at the bottom of the drop-down list of dictionaries. You can then tick "All taxa from list" to report on all of the taxa contained in the rucksack.

I'm sorry about the delay in replying but we went away for a week and then it has been hectic since I got back as I have been busy nest-recording leaving little time for computer jobs.

Thanks for telling me about rucksacks. I had not had cause to use them before, but they do what I need excellently!

On a reporting matter, I hope you can help on another reporting issue - I cannot find any variable in the report wizard that allows the selection or printing of the relevant vice county, or vice county number. Do you know how to:

- find it?
- select it?

Many thanks for your advice with reporting - it is coming together well. I now just need to be able to have the VC by each record.

I have found how I ought to be able to report on records by vice county but it doesn't work so have started a different thread with that name.
