Topic: Determination Date Issue

Lots of old records in our database only have a year in the determination date and this is causing issues when we try to export the data. I looked through the forum and found a similar post that referred to a batch update 'TDET_Dates_1 as resolving this issue. I ran this batch update but it has not altered the records and the problem remains. Could you advise what I need to do to resolve this problem?

Are the records you are trying to change in the custody of your system? The batch update ‘TDET_Dates_1 - Corrects Taxon Determination dates’ will only correct records which are in the custodianship of the system in which it is run. Could custody have been transferred to another copy of Recorder 6 when data was exported? The Show Metedata icon will indicate if custody has been transferred.

If you open up JNCCTDETDates1CorrectDates.xml in \User Files\Batch Updates for your Recorder 6 system you will see comments that tell you more about how the batch update works. In a standalone installation on Windows 7 this will be in C:\Users\Public\Documents\Recorder 6\User Files\Batch Updates. .xml files are easier to read if they are opened in Notepad.

Where will I find the Show Metedata icon? Is it in Recorder 6 or do I need to access the SQL database and if so, how do I do that? I am not familiar with the system so need clear and simple instructions! Thanks.

The Show Metadata icon is on the active window toolbar in Recorder 6 when you have an appropriate window, like the observation hierarchy, open. It is the aqua-marine circle with an ‘i’ in it. If you can’t see it, check that you have ‘Show Active Window Toolbar’ ticked on the Toolbars tab in Tools – Options. It is also on the Edit menu.

Hi Sally I've checked the relevant Metadata and below is an example of what comes up:

The record was created by Charles Morgan on 26/03/2002.
The unique record identifier is DSS001200000000G.
This Survey was imported from database DSS00120.

Does the mention of importing mean it's not in the custody of our system?

This means that the record is in the custody of DSS00120, the system to which it was originally input. If custody was held by another system it would also say ‘The custody of this Survey [Taxon Occurrence, etc.] is held by Site ID xxx’ where xxx is the site ID of the copy of Recorder 6 that is the custodian. Help – Summary Info will tell you your Site ID although it is called the Copy Identifier there. If imported records are causing the problem, can you contact the person who gave them to you, ask them to correct the problem in their system and re-export the data to you? Importing that should correct the problems in your system.

Unfortunately that side ID was older version of Recorder here at the Trust on a different PC that we no longer have, so we cannot get the problem fixed and re-imported. I have therefore opted to backup and restore to move the date from our master copy to our satellite copy as previously discussed with you and no further action will be taken to correct the old determination date errors. Thanks for your help.
