How do I back up my data files from my desktop copy of Recorder 6 (running on Windows XP) to my laptop (running on WIndows 7)? On Windows XP I can easily turn the SQL server on and off by just using the icon at the bottom right of the screen, then copying the data files to a memory stick for transfer, but I can't turn the SQL server on and off easily in Windows 7, and so cannot copy the data files over. I have SQL Server Management Studio Express, which I suppose is the tool I need to use, but I can't get into it: a window appears with the login name 'sa' and asking for a password.

I think you can do this just by backing up the database from within Recorder 6 on the XP machine  (from the menus - Tools/Database tools/ Backup database), copying the backup file to the new machine and restore the same way. This doesn't necessitate turning off SQL server, however you will then need to run a bit of SQL (in management studio) which updates the NBNUser login. There are several threads on this forum which explain how to do this, but I don't have a link handy I'm afraid.

The way I would be  to use the tools to detach the database. The password for the sa login will probably be a blank if you did a standard MSDE installation of R6. Otherwise you should be able to connect using Windows authentication and no password. Once detached you can copy the file. To install it on the new machine make sure R6 is running ok and with the same version of the software as on the original machine (very important). then detach the database. Copy in the one from the other machine and attach it using the tools. As Rob says you will probably  then need to run NBNUser login to get it working. The SQL for this is  EXEC sp_change_users_Login ‘Update_one’,’NBNUser’, ‘NBNUser’ .  It  needs to be run under  NBNdata and not master.
